Smith’s Canine Club operates in accordance with the Animal Welfare (Licensing of Activities Involving Animals) (England) Regulations 2018 and associated statutory guidance.
1. Suitability & Assessment
All dogs must attend a successful introductory assessment prior to acceptance.
We reserve the right to refuse admission to any dog displaying behaviours that may compromise:

Staff safety
-
Other dogs
-
Property
-
Neighbouring premises
This includes, but is not limited to:
-
Aggression toward people or animals
-
Excessive or persistent barking
-
Severe separation anxiety
-
Destructive behaviour
-
Lack of toilet training
-
Escape tendencies
Admission remains at the discretion of the proprietor.
2. Health & Vaccination Requirements
All dogs must:
-
Be fully vaccinated (including Kennel Cough) OR titre tested with certification
-
Have completed vaccinations at least 14 days prior to attendance
-
Be up to date with flea and worm treatment (veterinary-approved products only)
Proof must be provided before the first booking.
Dogs must be handed over in good health. Any known illness, injury, medication, or medical condition must be disclosed in writing prior to attendance.
If a dog arrives visibly unwell, we reserve the right to refuse admission. No refund will be due in these circumstances.
3. Illness During Attendance
If a dog shows signs of illness:

The dog will be isolated in accordance with licensing requirements

Veterinary advice will be sought if necessary
-
The owner or emergency contact will be notified immediately
All veterinary costs incurred are the responsibility of the owner and must be reimbursed immediately upon collection.
If a contagious condition is diagnosed, the dog must be collected without delay. No refund will be issued.
4. Supervision & Socialisation
Dogs may socialise with compatible dogs from other households.

Dogs from separate households will not be left together unsupervised.

Dogs from the same household may share unsupervised time unless otherwise requested.
All dogs are supervised by competent and trained staff in accordance with licensing conditions.
5. Exercise & Welfare Provision
Each dog will receive:

Fresh water at all times
-
Regular toileting access
-
Appropriate rest periods
-
Structured enrichment activities
-
Exercise appropriate to age, breed, and health
Owners must supply:
-
Daily food
-
Collar/harness
-
Lead
-
Any required medication
6. Off-Lead Exercise
Off-lead exercise will only occur with written consent.
Where off-lead exercise is agreed, the owner accepts responsibility for any injury, loss, or incident resulting from off-lead activity, except where caused by proven negligence.
7. Veterinary Authority
In the event of emergency:

Every reasonable effort will be made to contact the owner and emergency contact.

If time is critical, we are authorised to seek veterinary treatment without prior consent.
The owner agrees to reimburse all veterinary fees incurred.
8. Emergency Contact
An emergency contact must be provided.
If:
-
The dog must be removed due to behaviour, illness, or emergency
-
The premises must be evacuated
-
The proprietor is incapacitated
The emergency contact agrees to collect or assume responsibility for the dog.
No refund will be given if removal is required due to behaviour.
9. Bookings & Payment
A booking is only confirmed once the required deposit has been received.

50% deposit required to secure booking
-
Full balance due on or before first attendance
-
Bookings made within 14 days require full payment
We reserve the right to cancel unconfirmed bookings if payment is not received within 24 hours of agreement.
10. Cancellation Policy
-
Cancellation more than 30 days before booking: deposit refunded
-
Cancellation within 30 days: full amount payable
-
Failure to attend: full amount payable
Refunds will only be issued in the event of:
-
Death of the dog
-
Serious illness or injury (with veterinary confirmation)
Cancellations must be made in writing via email.
11. Late Collection
Collection times are agreed in advance.
Late collection may result in additional charges. Persistent lateness may result in termination of services.
12. Abandonment
If a dog is not collected and no contact can be made with the owner or emergency contact within 7 days, we reserve the right to follow local authority guidance regarding abandonment, including transfer of ownership where necessary.
All associated costs remain the owner’s responsibility.
13. Liability
Owners accept that dogs interact with other animals and inherent risks exist.
Except in cases of proven gross negligence or misconduct, Smith’s Canine Club shall not be liable for:

Injury
-
Illness
-
Loss
-
Damage
Owners remain liable for any damage or injury caused by their dog.
14. Force Majeure
We shall not be liable for failure to perform services due to events beyond reasonable control, including but not limited to:
-
Fire
-
Flood
-
Government restrictions
-
Utility failure
-
Pandemic restrictions
In such circumstances, bookings may be rescheduled where possible.
15. Media Consent
Photographs or videos of dogs may be used for marketing or social media purposes unless the owner opts out in writing.
16. Data Protection
Personal data is processed in accordance with our Privacy Policy.
17. Acceptance of Terms
By making a booking, the client confirms that they have read, understood, and agreed to these Terms & Conditions.
